BPC RiskManager - Send Mail Options Configuration
Introduction
Email can be automatically sent to users on change of responsibility for risk and mitigating strategy records. This function is configurable. By default the configurations are not selected. Please update this tab to enable this function. Recommend not selecting this setting when in training or user acceptance phases as email messages will be generated.
There are two ways that emails messages are generated by the system either instantly a triggering event (like a change in risk details or a change in the strategy details) occurs, or scheduled through mail queues built as a result of an event. Only two of the possible scenarios are controlled here (many others are managed only in the administration screens of the client).
The two checkboxes here enable instant messages, but these messages have minimal configuration options and are sent in text only format, with the advantage that they are sent immediately a change occurs. The more advanced email messaging using fully customizable report based email messages in rtf/html format that you can define to include almost any information you like and are set up from within the application server client (ie. Not here).
The two check boxes are as follows:
- Send email messages on change of risk responsibility. Ticking the box will enable messages to risk owners and delegates when the responsibility changes. These messages do not have an advanced customizable version and this option would generally be used is such messages are desired. We recommend ticking this box LATER after you have done your initial data setup, unless you want messages to be dispatched as you load up initial risks. If you are converting risks from another system, your current risk owners will generally already know they have responsibility for some risks.
- Send simple email messages on change of mitigating strategy/control/treatment responsibility. Ticking the box will REPLACE the equivalent end user / mail queue based functionality with the instant text only simple messaging that advices users instantly a strategy detail is changed. Most users will prefer advanced report layouts for strategy notification, so you will generally NOT use this function. One advantage of checking the box here is that the messaging requires no further configuration to be available, while another advantage is that it is instantaneous (while the client configured version requires some additional configuration in the client and the messages are queued until the scheduled mail manager sends them). As with the risk responsibility box, you will, in any case, probably want to delay activating this feature until you have set up the risk register for the first time.
